Terms of Service

These terms govern use of Billflow's invoicing, payment-tracking and business-administration software.

1. Using Billflow

By creating or using a Billflow account, you agree to use the service lawfully and only for businesses, customers, payment information and communications you are authorised to manage.

2. Your workspace and records

You are responsible for the accuracy and lawfulness of information you enter, import, approve or send through Billflow, including customer details, invoice content, tax treatment, payment instructions and communications. You must keep account credentials secure and promptly tell us if you believe an account has been compromised.

3. Automation and AI

Billflow may provide automated or AI-assisted features for invoicing, collections, customer communications and administrative work. You are responsible for configuring those features appropriately for your business and supervising actions that require business judgement. Billflow may require approval, block a high-risk action or escalate an item for human review.

4. Payments and third-party services

Billflow may connect to third-party services such as payment, email, accounting or CRM providers. Those services have their own terms and availability. Customer invoice payments may be processed through a business's connected payment-provider account; Billflow's SaaS subscription is a separate charge.

5. Data protection

Each party is responsible for the data-protection obligations that apply to its role. Where Billflow processes Customer Personal Data on a business customer's documented instructions as a processor, the Billflow Data Processing Addendum applies when incorporated into the parties' agreement. Our own controller processing is described in the Privacy Policy.

6. Acceptable use

You must not use Billflow to:

  • commit fraud, impersonate another person or send information you know is materially false;
  • access another customer's workspace or attempt to bypass security controls;
  • send unlawful, deceptive, abusive or unsolicited communications;
  • introduce malicious code or deliberately interfere with the service; or
  • process personal data you are not entitled to use through Billflow.

7. Plans, billing and cancellation

Paid plans renew according to the billing terms presented at purchase until cancelled. Prices, plan limits and features may change on reasonable notice. Except where law or an agreed commercial term requires otherwise, charges already incurred are not automatically refundable.

8. Suspension and changes

We may suspend or restrict access where reasonably necessary to protect security, prevent abuse, respond to non-payment, comply with law or protect Billflow and its users. We may change the service as it develops, but will not intentionally remove paid core functionality solely to avoid providing the service already purchased for the applicable billing period.

9. Availability and liability

Billflow is provided with reasonable care, but no online service can be guaranteed uninterrupted, error-free or suitable for every accounting, tax, legal or operational requirement. To the maximum extent permitted by law, Billflow is not responsible for indirect or consequential losses. Nothing in these terms excludes or limits liability where the law does not permit that exclusion or limitation.
